How Can You Make Your Virtual Meetings Work?

The world of virtual meetings is growing.  There are a lot of companies going to this use of communication in order to save money from travel, food, and other expenses related to travel.  Since virtual meetings have become a popular form of communicating, certain myths are becoming a big thing.  There is one that speaks of virtual meetings are the same as physical meetings.  You may have a virtual meeting, but sometimes it is better to have the physical meeting, especially when there is a difficult or complex situation, you are introducing someone new, or you are discussing something that is top secret.

  1. Be sure your virtual meeting will yield to everyone.  Be sure you do not have the software that allows the loudest person, whether purposely or not, does not have the ability to steal the conference.
  2. You should come up with very creative ways to get people to participate in your virtual meeting.  Come up with some questions you can ask that will cause them to want to answer.
  3. Be sure that your software will work with the other people’s software.  You need to be sure all your graphics as well as the data can be easily seen by those in your virtual meeting.
  4. You should know everything you need to keep the virtual meeting moving smoothly.  You should be able to turn off beeps from people coming and going from your meeting, kick off someone who puts you on hold, or how to get a hold of the operator for help.
  5. Every few minutes be sure to stop talking for roughly four breaths to allow those who are in the meeting an opportunity to respond or ask questions.
  6. Get your participants to converse together as well as you leading the meeting.

Once you have covered all of the above steps to make your virtual meeting work, you will find it will become easier over time.  Virtual meetings are fantastic when you need to get a lot of clients together at one time.  However, nothing ever truly replaces the face-to-face meetings of the past.  Some clients will want that personal touch of being in the same room.  However, most companies will appreciate the cost saving methods you have taken to have a virtual meeting.
